Dear all,

We are pleased to inform you that, starting from November 2021 closing, we are slightly updating the key dates of the Monthly Actual HC-FTE reporting process: headcount-FTE updates for the current reporting month will be finalized in iPeople by the last calendar day of the month. Data will be centrally transferred to Finance (BFC) on the 1st working day of the following month.

Key Dates:

• 1 to 2 days before the end of the Month (considering the working days here), a first snapshot of the Headcount will be posted to HR and Finance Teams ; you will have until the last day of the month to complete all updates in iPeople with effective dates of the month to be included in Finance reporting. The final data snapshot in HR system for the reporting month HC/FTE is done on that final calendar day of the month and will be centrally transferred to Finance (BFC) on the 1st working day of the following month.

HR community manages all hires and terminations during the current month to avoid “last-minute” adjustments and workload.

Finance community will find the first iPeople snapshot as of end of reporting month in Sharepoint (here) one to two days before the iPeople deadline.

Headcount details by Legal entity / Management unit and at Cost center level are the basis for Finance-HR alignment.

In case of any adjustments to be made, Finance should liaise with his/her HR partner who will be able to process them in iPeople till the monthly data freeze in HR system (last day of the Month, EOB CET).

For November:

29^th – 9.00AM, CET – first iPeople snapshot here for HRs and here for Finance

30^th – 6.00PM (EOB) CET – deadline for all updates in iPeople and final snapshot

1^st of Dec – 2PM, CET – HC-FTE is centrally transferred to BFC

1^st of Dec – 2PM, CET – final iPeople snapshot posted in Sharepoint accordingly (links above)

We take an opportunity to emphasize the importance of the Year End Headcount Data accuracy. We remind you that the data will be published in the Annual Financial Report 2021

22 December – 1^st iPeople snapshot of Headcount by Cost Centre, as of year-end 2021, copied to HR and Finance teams (via links above)

27 December – 2^nd iPeople snapshot of Headcount by Cost Centre, as of year-end 2021, copied to HR and Finance for final controls.

31 December (6PM, CET) – deadline for all updates in iPeople.

Reminder: Headcount – FTE data as reported in iPeople by the last day of the month is centrally transferred to Finance systems BFC and TM1 (after BFC validation), with no possibility to change data in Finance systems.

3 January (2PM, CET) – HC-FTE centrally transferred to BFC. Final detailed iPeople snapshot in SharePoint.
